How Do You Approve A List?
GroupCollect allows trip leaders to make a list and then submit it to you, the tour operator, for approval. This is the process of what that would look like for both the trip leader and the trip administrator.
Trip Leader View:
From the trip leader dashboard, the trip leader will click on Lists.
Then Create New List
In this example, we'll say the trip leader is creating a new rooming list.
Then, after assigning passengers to their rooms, the trip leader will click the blue button that says Request Approval
Then they'll be taken to another screen where they have to confirm that they'd like to submit this list to the tour operator.
After requesting approval, the list will now say Approval Requested and will remain this way until the tour operator approves the list.
Tour Operator View:
After the list is submitted for approval, the tour operator will log in and click on the appropriate trip. From the administrator dashboard of this trip, they'll look to the Action Items section and click on the message pertaining to lists. In this case it says "1 Incomplete Lists"
The tour operator will be taken to the list that the trip leader submitted for approval. The list will be reviewed, or adjusted if necessary, then the tour operator will click on the Approval Requested button.
The tour operator will be taken to another screen where they will be able to approve or reject the list in addition to leaving notes.
If the list is approved, the list will reflect as approved and automatically be set to Locked status. The trip administrator can always unlock the list if necessary, but this will prevent the trip leader from making any unauthorized change from this point on.
